About ASBMR
ASBMR MEDIA GUIDELINES
Background
The American Society for Bone and Mineral Research (ASBMR) is dedicated to
promoting excellence in bone and mineral research, fostering integration of
clinical and basic science, and facilitating the translation of our science
to health care and clinical practice. To achieve these goals, the ASBMR Annual
Meeting scientific
topics include, but are not limited to:
- Osteoblasts
- Osteoclasts
- Bone, Cartilage, and Connective Tissue Matrix
- BMPs
- TGF-ß
- Growth Factors and Cytokines
- Peptide Calciotropic Hormones
- Steroid Hormones
- Osteoporosis, Epidemiology, Pathophysiology, and Treatment

Founded in 1977, the ASBMR has more than 3,800 members representing more
than 60 countries. Approximately 5,000 researchers and physicians are expected
to attend the Annual Meeting, where approximately 1,700 scientific abstracts
will be presented.

The Society has established these guidelines governing media and corporate/institutional
media activities to facilitate coverage of news generated by the Annual Meeting.
The Society reserves the right to deny admission to any representative who
fails to adhere to these policies or who misuses his or her media privileges
to engage in activities other than journalistic pursuits.
Embargo Policy
Media are required to abide by the embargo policies governing the Society’s
Annual Meeting. The embargo policy states that coverage of research being
presented at the Annual Meeting is strictly prohibited until one hour after
presentation.
This includes abstracts highlighted as part of the official media kit and
those published in the ASBMR’s official journal, the Journal of Bone and
Mineral Research (JBMR Abstracts book).

Media Registration
Journalists who are employed by accredited news organizations and attend the
meeting for the purpose of editorial coverage will be granted media credentials.
To receive official approval, journalists must submit media credentials, including
a photocopy of official press credentials or a letter verifying assignment
to the conference on the letterhead of the media organization being represented.
Media registrations are limited to 4 individuals per organization.

Online media must meet the following criteria:
- The website must include original, editorial news coverage.
- Editorial content must be independent of advertising or sponsorship.
- Advertising must be clearly identifiable as advertising.
- The website, if sponsored by a for-profit entity, must have multiple sponsors
and be clearly identified.
Companies or organizations producing publications, videotapes or other electronic
media intended for marketing, advertising, or public relations purposes may not register
as media.
Information regarding media registrants is proprietary. The Society does not
give, rent or sell current, past or on-site media registration lists.
Special requests related to media facilities must be made in writing no less
than three weeks prior to the Annual Meeting, and must be approved by the Executive
Director.
Non-Society Media Events
Media briefings, news conferences and press receptions that relate to the ASBMR
Annual Meeting Official Program and Ancillary Program, other than those sponsored
by the ASBMR, are not permitted on-site at the convention center, hotels, and/or
anywhere in the host city (Montreal). Companies, organizations, and Sponsored
Symposia Organizers, may not disseminate or promote any information related
to or a part of the Annual Meeting Official Program or Ancillary Program to
the media, without prior written permission from the ASBMR.
The Society’s name and/or logo may not be used in media releases, as this practice may give the appearance of endorsement, except to state: "This research/science was presented at the 30th Annual Meeting of the American Society for Bone and Mineral Research (ASBMR), September 12-16, 2008." If the research/science is not presented as part of the ASBMR Annual Meeting Official Program, it should be referenced as being presented in conjunction with the ASBMR 30th Annual Meeting.
On-Site Regulations
Media Room
Media credentials are required for entry to the media room. Company and
public relations representatives are not permitted in the Media Room.
All public relations and corporate representatives are expected to be respectful
of reporters’ needs and deadlines. Representatives may leave a message for
a journalist and/or post a general announcement by providing name, affiliation
and information to Media Room personnel.
Media Access
Registered media are required to wear the ASBMR’s media badges at all times
while on-site at the Annual Meeting. Entry into sessions requires a badge – registered
media (with badges) need to complete a request form and obtain approval from
the Executive Director and presenter to audiotape any session or other ASBMR-controlled
event during the Annual Meeting.
All scientific and educational sessions at the Annual Meeting are open to
the media.
Media Kits
Companies should bring media kits for review by the ASBMR media relations
team. Information included should be limited to science being presented at
the meeting, fact sheets, backgrounders, etc. Institutional or corporate promotional
or advertising materials are not permitted in the Media Room or kits.
Media kits cannot be reviewed prior to the meeting and may not be shipped
directly to the convention center or to the Society’s headquarters office.
Photographing and Videotaping
Photographing and videotaping scientific sessions, educational sessions,
or Exhibit Halls are strictly prohibited. To videotape other content on-site,
media may submit a request form. If permission is granted, the individual must sign, abide by and carry the Audio, Video and Photography Permissions Form. The form requires an ASBMR media representative signature and must be carried on your person at all times while attending the Annual Meeting.
Journal of Bone and Mineral Research
Permissions Policy
The American Society for Bone and Mineral Research (ASBMR) retains ownership
of all material printed in the Journal of Bone and Mineral Research
(JBMR).
The ASBMR may approve or refuse permission to reproduce JBMR material,
or may request modifications to the method of presentation or citation. (See
#6 below for specific restrictions and some reasons permission may be withheld.)
The American Society for Bone and Mineral Research may charge a fee for use
of copyrighted material. In cases in which a fee is applicable, the client
will receive an invoice from the JBMR office.
Permission requests should be sent to the Managing Editor of the JBMR
well in advance of print (or use) date; all requestors will receive a response
within two business days (this response may be a request for additional information).
The requests must include the following:
- Exact citation (example: J Bone Miner Res 2001;16:823-831, Berger
et al.)
- Specific reference to figure(s), table(s) or other information to be reproduced
from an article if the permission request does not relate to an entire article.
- The request must note that the information is to be reproduced without
modification, or, if the requestor wants to modify the material, the modified version must be appended to the request. Modification may delay the response to permission requests since in many cases the modification must be approved by the editor and/or the authors of the original work.
- Information regarding how the material will be presented:
- If in book form, provide title, edition number, date of publication.
- If a periodical, name of journal or magazine and circulation.
- If part of a non-print presentation, provide nature of presentation
(educational, other) and audience number.
- If part of a website, provide mock-up of exactly how information
will be presented on the website and for what period of time the material
will appear on the website.
- Other (dissertation etc.), please detail in your letter to the JBMR.
- Annual Meeting Abstracts
The Society does not provide permission for other entities to reproduce
and/or distribute selected abstract(s) prior to their presentation at the
meeting. (The Abstracts book is mailed to pre-registered Annual
Meeting attendees who purchase it, and provided to other Annual Meeting
attendees on-site at the meeting. ASBMR members receive their copies after
the Annual Meeting. Contents are embargoed until one hour after the
time of their presentation. The CD-ROM
and Abstracts
On-line may be made available prior to presentation by written permission
of the ASBMR, but contents remain embargoed until one hour after the time
of
their presentation.
All permission requests for reproduction of meeting abstracts must be directed
to the Managing Editor of the JBMR. The request should include:
- The full text of the abstracts to be reproduced, with abstract authors
and title, abstract number and page number as it appears in the JBMR
supplement
- An accompanying reference list that provides the references of all abstracts
on the same topic (This list will be reviewed and approved/modified by
the JBMR editorial office; this reference list must be printed/distributed
with the full text reproduction of the selected abstracts.)
- The number of copies to be distributed
- The method of distribution
- The intended audience.
Should ASBMR grant permission for abstract reproduction, the following
must occur:
- A disclaimer must be prominently displayed/printed (oftentimes this appears
on the inside front cover), indicating that the decision to reproduce the
full text of the abstracts was not made by the ASBMR. Example: Selection
of abstracts was made by {company name} and does not necessarily include
all abstracts presented on this subject as the {27th} Annual Meeting of
the American Society for Bone and Mineral Research {Nashville , Tennessee,
USA, 9/23-27/2005}. The compilation does not constitute an endorsement by
ASBMR of the product, assay or information contained herein. No responsibility
is assumed, and responsibility is hereby disclaimed, by the American Society
for Bone and Mineral Research for any injury and/or damage to persons or
property as a matter of products liability, negligence or otherwise, or
from any use or operation of methods, products, instructions or ideas presented
in the abstracts. Independent verification of diagnosis and drug dosages
should be made. Discussions, views and recommendations as to medical procedures,
choice of drugs and drug dosages are the responsibilities of the authors.
- Translations: Note: the translated version of JBMR material
must also carry a disclaimer in English and in the language of the translation:
The American Society for Bone and Mineral Research takes no responsibility
for the accuracy of the translation from the published English original
and is not liable for any errors which may occur. No responsibility is assumed,
and responsibility is hereby disclaimed, by the American Society for Bone
and Mineral Research for any injury and/or damage to persons or property
as a matter of products liability, negligence or otherwise, or from any
use or operation of methods, products, instructions or ideas presented in
the Journal . Independent verification of diagnosis and drug dosages
should be made. Discussions, views, and recommendations as to medical procedures,
choice of drugs and drug dosages are the responsibility of the authors.
The two versions (English and other language) of the disclaimer must appear
on the inside front cover or at the beginning of the translated material.
- Because the ASBMR must protect itself from the appearance of prejudice
toward or against any diagnostic test, therapeutic product, company or editorial position, all permission requests are carefully reviewed and in some cases permission may be withheld. The ASBMR may in particular refuse permission for reproduction of images or material closely associated with the ASBMR/JBMR (example: J Bone Miner Res 1986; 15-21, Dempster et al., Figure 5), if such reproduction is deemed inappropriate, non-scientific, or too closely associated with another organization or entity. In addition, the ASBMR may request that such images be reproduced with the ASBMR logo embedded in the image or material or directly beside the image, text or other material.
